Default Order Types Add an Order Type Editing Order Types Deleting Order Types

Order Types allow you to sort and distinguish different orders based on how or why they are placed. Although you can assign admin panel orders a different order type while placing the order, WineDirect recommends leaving the orders set to their defaults to maintain the functions for each order type. Certain order types, such as clubs, have special functions within the WineDirect platform and are translated to integrated fulfillment systems differently. The Order Type select allows you to manually set the order type when placing an admin panel order. 


Default Order Types

AdminPanel Orders that are placed through the WineDirect platform by a user with a WineDirect admin account. This will include any orders placed through the Store > Orders section of the admin panel.
ClubOrder

Orders that originate from the club processing tools in the WineDirect platform. WineDirect recommends not rebranding your admin panel orders as Club. Items to keep in mind when deciding whether or not to use to mark an admin panel order as a club:

  • Admin panel orders manually set to Club will not be treated by the system as a club shipment. These orders will not be reflected in a club member's club shipment status, so if you use prepay club options, these orders will not be subtracted from a club member's remaining club shipments.
  • Orders placed through club processing do not qualify for promotions, so promos will not be applied to the Order*.
  • If you use a fulfillment provider to fulfill your orders, these manual club orders will get hung up, as they are not classified as club shipment orders.

Please Note: When you change an admin panel order to Club, the session you opened the Order in will still see this as an admin panel order, so promos will apply. However, because true Club orders do not allow promos if you place the Order on hold and then resume the Order, promos will not apply because the order session opened as a Club order type.

Facebook Orders that originated from the WineDirect Facebook e-commerce application from your Facebook page. This feature is no longer used, but if you used the Facebook app before, you would have orders with this order type.
iPad Orders that originated from the WineDirect iPad Tasting Room application. This feature is no longer used, but if you used the Tasting Room app before, you would have orders with this order type.
Marketplace Orders that originate from an integrated marketplace solution like Amazon.
Mobile Orders originate from your website's mobile version (not applicable to responsive websites).
POS Orders that originate from an integrated POS solution (Napa Valley POS, Oztera, iMPOS) or the WineDirect POS application.
Reservation Orders that originate from an integrated reservation system (CellarPass, VinoVisit).
Telemarketing This is a manual order selection. This option is primarily used by clients using a wine telemarketing service (Such as: Call for Wine, Chatterbox, Provino, and Wine Leverage). This will allow your telemarketing service to mark their orders as such, allowing you as a client to track telemarketing orders through your Sales Reports (Order Type column).
Website Orders that originate from your website.
Not all order types are in the WineDirect admin panel by default.

Order types Facebook, iPad, Marketplace, Mobile, POS, Reservation, and Telemarketing are only available if you have the appropriate WineDirect feature activated.
If there is an order type available that you do not currently have but would like to use, please send your request to support@winedirect.com. 



Add an Order Type

Aside from the standard order types available (AdminPanel, ClubOrder, Facebook, iPad, Marketplace, Mobile, POS, Reservation, Telemarketing, Website), you can create your order types manually and flag orders processed through the admin panel or WineDirect POS. The following steps will help you create a new order type:

1. Start by navigating to Settings > Misc > Order Types.

2. Click the [+] Add an Order Type button on the right.

3. Enter the name of your new order type. (You can also edit the names of existing order types).

4. Check the box for Is Active? so that it will appear as a usable option.

5. Click Save.

Once a custom Order Type is added, you can still Edit it and change the name. Changing order types can affect any integrations (POS, Fulfillment, ShipCompliant, and other integrations). Please review any changes with your integration providers before using a new or edited order type.

Once you have a new order type created, you can select it from the order type select when placing admin panel orders or assign it to a POS Profile.

The ClubOrder order type passes as 'Club' to your fulfillment provider.
 
Remember, when renaming your order types, you will always want to know which type is ClubOrder.



Editing Order Types

You can edit order types after you process an order. Below are the steps on how to do it.

1. Go to Store > Orders.

2. Open up an Order on which you need to customize some of the Order Information.

3. Click on the green pencil in the Order Information section.

4. Once you have clicked the green pencil, you will be able to edit:

Order Type The Type of the Order. Below are some examples:
  • AdminPanel
  • Website
  • POS
Sale Type If it is Onsite or Offsite.
Campaign Select which Campaign the Order should be a part of.
Sales Associate The sales associate who gets credit for the Order.
Sales Attribute A sales attribute is one of the ways to track, organize and sort your orders coming into WineDirect.
Source Code This is a free text field where you can type in any internal notes or details for the Order.


Information updated in the Admin Panel on an order after it has been placed does not push this new updated information to some integrated web services.

Changing the Order Type after a purchase can confuse reporting results, so please be careful when adjusting your Order Information.


Deleting Order Types

WineDirect's system will only allow you to delete certain Order Types such as newly created order types that are not defaults to key areas of the system ie Admin Panel, Club Processing, the Front End Website and POS for example. Also, the system only allows for an Order Type to be deleted if that Order Type never had any orders tied to it. There are only 2 default Order Types that can be deleted if never used: Facebook and iPad. 

You will see the delete button on the bottom left-hand corner of the order type. (Settings > Misc > Order Types)

IMPORTANT

Once at least one order was created under that order type, the order type can no longer be deleted from the system.
This happens as a way to protect your business' data for all past transactions made under that Order Type.
